How we work

Know what to build and what it costs, before you build it

Every project starts with a free call. If you are not sure where AI fits, an AI Workflow Study maps your work and names the first system to build. Before any build, a Build Plan fixes the scope and the price.

Four steps, each priced before it starts

  1. Free call

    No charge. Thirty minutes on your goals, your systems and your timeline.

  2. AI Workflow Study

    A fixed price. About two weeks. We map how the work moves and name the first system to build.

  3. Build Plan

    A fixed price, credited against the build. Scope, architecture, running costs and a fixed build price, in writing.

  4. Build and Run

    A fixed price, then a monthly fee. Both are set in the Build Plan. We build in stages and stay to run the system.

We quote the fixed price of each step on the free call, before it starts. You can stop after any step.

  • A map of how requests move today: who receives them, what they type, which systems they pass through and where they wait
  • Where each part of your operation stands: manual, digitised, connected, automated or intelligent
  • What is worth fixing, ranked by impact, cost and risk, including what a simpler fix solves without AI
  • The first system to build, with a budget range and a timeline
  • A phased plan, presented to your management in one meeting

How the two weeks run

  • Day 1: a kickoff meeting to agree the teams and the work in scope
  • Week 1: interviews and the workflow map, which you see at the end of the week
  • Week 2: the ranking and the first system to build
  • End of week 2: a readout meeting and the written study

What we need from you

  • Two or three people who do the work, for short interviews
  • A look at the systems you use, or screenshots of them
  • Real examples, such as a week of requests, forms or reports, with names hidden if you prefer
  • One person who can make decisions

Build Plan

For one system you already know you want, such as answering price questions on WhatsApp or entering supplier invoices into your accounting system. You get its scope and its full cost in writing before anyone builds it.

What the plan states

  • What the system will do, and what it will not do
  • Who uses it, and in which language
  • The systems it connects to and the data it needs
  • How it is built: the architecture and where it is hosted
  • The outside services it needs, such as AI models and the WhatsApp Business API, and what they cost each month
  • A fixed build price, the timeline and the monthly fee to run it
  • What you need to prepare, and the risks
  • Our recommendation: build it, change it or stop

Why the plan comes first

A build quoted without a written scope tends to grow once the work starts. With the plan, the build price is fixed against a document you have approved, and any change is priced against it before we make it.

If the plan shows the system is not worth building yet, it says so, and you keep the plan.

Step 4

Build and Run

We build at the fixed price in the Build Plan and release in stages. Your team reviews and signs off each one before the next begins.

After launch we host, monitor, support and improve the system under one service agreement, for the monthly fee stated in the plan, with support in Arabic and English.

Common questions

Do I have to start with the study?

No. If you already know the job you want to hand over, start with a Build Plan. The study is for when you are not sure where to start.

Do we need AI at all?

Not always. Often the fix is connecting two systems or writing a process down, and the study says so when that is the answer.

Do we need clean data first?

No. The study records what data you have, where it lives and what is missing, before anything is built.

Can we use the study or the plan with another company?

Yes. Both are yours once paid. The Build Plan fee comes off the build price only when we build it.

What happens after the study?

You decide: a Build Plan for the first system, or stop there and keep the study.

Are the prices fixed?

Yes. The study and the plan each have a fixed price, which we quote on the free call. The build price is fixed in the Build Plan, and the monthly fee for running the system is stated there too.
